Reports to Senior Volunteer Manager

Position responsibilities

  • Coordinate statewide recruitment of volunteers to support Special Olympics Minnesota (“SOMN”) events and programs, including but not limited to day-of-event volunteers, delegation volunteers such as coaches and heads of delegation, and other leadership volunteers throughout the state who support the ongoing delivery of the SOMN mission.
  • Recruit volunteer staff to fit roles using a variety of resources and techniques.
  • Prepare and distribute routine communications to recruit and retain volunteers, in collaboration with Volunteer management and Marketing & Communications staff.
  • In collaboration with other staff as appropriate, develop and implement programs to recruit and retain specific demographic segments (e.g. college students, people outside the Twin Cities metropolitan area) as needs are identified.
  • Demonstrate a commitment to eliminating barriers toward participation and systemic biases in the design and implementation of projects and activities.
  • Administer the CERVIS volunteer management software and SOMN’s policies and procedures for data entry, management, and reporting. Provide weekly updates, reports, and other information to relevant staff.
  • Assist with administration of competitions and events including management of registration data, management of necessary supplies and equipment (including volunteer T-shirts, recognition items, and similar), generating reports and other materials, and working on-site as part of the event management team.
  • Coordinate event administration, including data entry, data tracking, supply and equipment maintenance, and other tasks as needed.
  • Participate in shared department tasks such as keeping storage areas organized, maintaining supply and equipment inventories, and material procurement; preparing and distributing routine communications to internal and external stakeholders; attending team, department and staff meetings, and other duties as assigned.
  • Perform other related duties as required.

Position summary

The School Programs coordinator collaborates with other SOMN staff to implement and support Unified Champion Schools strategies, initiatives, programs and events with focus on recruiting and sustaining Unified Champion Schools in assigned areas.

Reports to Director of Unified Champion Schools

Position responsibilities

  • Coordinate assigned programs, activities and related offerings under the Unified Schools Program as assigned, including but not limited to: Unified recreational activities, Unified invitational games, Young Athletes, campaigns and rallies, Unified Clubs, Cool School Polar Plunges, and any other programs or activities under the Inclusive Youth Leadership, Unified Sports and/or Whole School Engagement pillars.
  • Collaborate with SOMN staff to further develop and implement programs, activities and offerings where appropriate.
  • Identify, cultivate and sustain relationships with students, teachers, administrators, educational organizations and related associations to sustain and grow a network engaged in the goals and strategies of Unified Champion Schools.
  • Collaborate with staff to identify and implement strategies to sustain student engagement.
  • Participate in shared department responsibilities to develop grant applications and requests, programming, tool resources, strategies and related. May include primary leadership for specific projects or areas as assigned.
  • Participate in shared department responsibilities such as keeping storage areas organized; maintaining supply and equipment inventories; material procurement; preparing and distributing routine communication to internal and external stakeholders; attending team, department, and staff meetings; and other duties as assigned.
  • Be able to successfully plan and run various types of events (sports, recreational, leadership summits, etc.).

Position requirements

  • 2-4 years of experience in sales, account management, community building, relationship building or similar with demonstrated success in building engagement and relationships
  • 2-3 years of event experience
  • Excellent written and oral communication skills
  • Extensive presentation experience
  • Experience helping customers/clients/participants navigate a broad range of programs, initiatives and events to secure engagement initially and grow it over time, preferred
  • Marketing tactics, preferred
  • Community organizing
  • Participation in and/or in-depth knowledge of Special Olympics, youth programming and/or academic environments
  • Must be able to pass background check
  • Experience with CRM
  • Bachelor’s degree preferred
  • Preferably living in southern Minnesota or south suburbs

Work environment

  • Working in an office setting – Will vary week-to-week depending on schedule; up to 100% of many weeks.
  • Working indoors in a non-office setting – Will vary week-to-week depending on external meetings and event schedule. Typically not exceeding 50% of most weeks.
  • Working outdoors – Some work to support outdoor events such as sports competitions, Polar Plunges and others. The number of events per year will vary and may change seasonally. In heavier event seasons, typically would not exceed 50% of time in a single week but could be up to 100% of time in limited instances.
  • Working where there are hazards – Work at outdoor events may include cold or warm temperatures, which may require appropriate clothing or other protection to maintain health and safety. Some work may occur in winter conditions and will require accommodation for cold, snow and ice.
  • Working where there are extreme temperatures – Some outdoor events during winter and summer.
  • Travel will be required for meetings and events, typically 5-10% of total time in a week, with 0-5% being more common.

Reports to Director of Unified Champion Schools

Position responsibilities

  • Manage implementation of the Young Athletes Program. Coordinate administrative processes such as registration forms.
  • Develop project plans and budgets.
  • Recruit key individual and organizational partners to implement and sustain Young Athletes programming. Coordinate with marketing and communications staff to develop and implement marketing plans.
  • Provide effective support resources, troubleshooting and customer service.
  • Ensure standards are met and protocols are followed.
  • For hosted events: Work with staff and vendors to develop site/venue layouts; procure supplies, equipment, signage and other necessary materials; manage and oversee logistical and organizational details before, during and after events; provide effective on-site event management, including volunteer training and support.
  • Coordinate event tie-off and follow-up, including data entry, data tracking and other tasks as needed.
  • For non-hosted programs: May include development of guidebooks, practice plans and other resources materials to support facilitation.
  • Collaborate, communicate and cooperate with other staff, leadership, volunteers and other SOMN activities or programs.
  • Participate in shared department tasks such as keeping storage areas organized, maintaining supply and equipment inventories, and material procurement; preparing and distributing routine communications to internal and external stakeholders; attending team, department and staff meetings, and other duties as assigned.
  • Knowledge, experience, and/or enthusiasm for improving lives through health and fitness.
  • Experience working with children ages 2-7 years.
  • Effectively manage mid- to large-scale projects or events with multiple components (for example: schedules, vendors, staff, volunteers, supplies, equipment)

Position requirements

  • Effective communication skills, both written and verbal, and high level of comfort communicating with new people
  • Ability to manage time, prioritize tasks, and organize data and logistics effectively
  • Must pass background check

Physical requirements

  • This job requires consistent, sometimes constant, use of a computer and other office equipment such as the telephone and copiers.
  • Must be able to remain in a stationary position for 1-2 hours at a time to complete work or participate in meetings. Adjustable-height desks are provided at all employee workstations in SOMN’s Minneapolis office.
  • Must be able to move to different locations within the office to perform tasks or attend meetings and to other locations as required by meetings or events.
  • Position requires frequent communication with others through in-person conversations, written communication, telephone conversations and video meetings.
  • Must be able to work in environments with loud noise.
  • Job may require transportation of supplies, materials and equipment to meetings or events. Wheeled carts and similar resources are available at all times, and large events with greater amounts of equipment are typically coordinated amongst two or more staff members working together.

  • Travel will be required for meetings and events, typically 5-10% of the total time in a week with 0-5% being common. Travel may be statewide, but more commonly within the Twin Cities metro area. Rental vehicles may be provided depending on circumstances and the employee’s preference. Reimbursement for mileage, use of public transportation, or car services typically available within budget guidelines.
